Vermeer-Wisconsin has an opening for a full-time Inside SERVICE WRITER/WARRANTY ADMINISTRATOR in our LITTLE CHUTE location. Primary Responsibilities – Service Department:

  • Greet customers, vendors, and drivers.
  • Answer incoming calls for service and route as needed to best serve the customer.

Primary Responsibilities – Service Writer:

  • Maintain accurate information in business system dispatch central
  • Open work orders utilizing segmenting and standard job codes
  • Dispatch work order jobs to assigned technicians and/or shop foreman as directed by the Service Manager, including expected labor time needed and due date estimates to meet customer demand
  • Process / open jobs to serve Sales Department needs, including direction from the Equipment Coordinator / Sales Administrator and/or the Sales Manager
  • Enter daily technician time entry, properly coded and classified regular, field, overtime, submit to service manager for approval
  • Coordinate with parts department personnel on upcoming equipment repairs to ensure parts are on hand
  • Maintain internal Service Bulletin workbooks, maintaining accurate data entry of completed jobs
  • Ensure efficient work order throughput – timeliness from open job to closed/invoiced job
  • Full review of all work orders including appropriate text entry detailing the work performed 
  • Maintain WIP and project lists for the techs to be displayed in the VIDS board (project list examples:  kaizen events, shop upkeep, yard detail, building maintenance) to support technician productivity
  • Communication with customers and sales team to review machine work needs and related costs for repairs
  • Communication with BPI Manager offering detailed Standard Job Code (SJC) information from work orders completed, facilitating improvement to the code set provided from Vermeer
  • Backup person to techs for eqpt rental check in/check out 
  • Weekly Link communication from Vermeer:  look for software updates, and download to the network share drive, as explained under separate cover, making that file available for automatic upload to laptops via GPO
  • Other duties as assigned as needed

Primary Responsibilities – Warranty Administrator:

  • Assess need for warranty filing via review of the completed work order job
  • Warranty filing with VC and other manufacturers processed in a timely manner as determined by WIP
  • Bi-monthly review of open warranty filings, and communication with OEM to ensure timely processing of credits

Backup to Service Manager:

Service Writer along with the designated technicians will be the back up to the Service Manager when needed and in his absence.  Please refer to the Service Manager job description for a detailed listing of responsibilities, and confirm with management your understanding of expectations.
